Documentation Coordinator

About the role

The Documentation Coordinator supports the Customer Experience department by managing back‑office documentation for Pacific Island trade lanes. Accuracy and speed are critical due to short transit times, and the role acts as the first point of contact for documentation‑related enquiries.

Key responsibilities

• Process all documentation on behalf of principals and send pre‑alert and schedule information to customers.
• Coordinate with internal departments to improve functional KPI delivery.
• Download, compile, and distribute manifests, bills of lading, and invoices to local authorities and internal customers.
• Enter bills and freight details into the system and conduct vessel/voyage audits to ensure timely closure of BOLs.
• Maintain end‑to‑end accountability for allocated trade lanes and liaise with Commercial and Sales teams on rate queries.
• Prepare pre‑receivable advice documentation and handle customer complaints or enquiries related to documentation.
• Support internal customers with ad‑hoc documentation requests and perform other tasks as directed.

Required profile

• Tertiary studies in management or business administration (supply chain desirable).
• Minimum 2 years of shipping/freight experience in a similar role.
• Team player with a positive, customer‑centric attitude.
• Excellent verbal and written communication skills.
• Strong attention to detail, time‑management, and ability to work under pressure.

Required skills

• Intermediate proficiency with Microsoft Office Suite.
• Proficient training experience in Cargo Wise (desirable).
